For suppliers

Turn the spreadsheet you already have into the catalog every reseller works from.

For manufacturers, brands and distributors. Import a CSV or Excel file, map its columns with AI suggestions you approve, build catalogs with rules, and share each catalog with the resellers you choose. Prices, inventory, discontinued items and images stay in one place.

What breaks today

You already have the data. The copies are the problem.

One file per reseller, one version per email, and no one sure which is current.

dealer_A.xlsx · dealer_B.xlsx · …

One file per reseller

Every price change becomes a round of exports, and each export is out of date the moment it is sent.

pricelist_FINAL_v7.xlsx

Which price is current?

Cost, MAP and MSRP sit in different columns of different versions. Resellers quote from whichever one arrived last.

Photos that never match

Images arrive in a zip under their own names. Matching them to SKUs is a job nobody finishes.

Discontinued, still for sale

You retire a line. A reseller keeps selling it until an order fails.

The supplier workflow

From one upload to a catalog each reseller can work from

Five steps, all in the supplier app. Nothing is imported until you confirm the mapping, and no reseller sees a catalog until you give them access to it.

Both sides of the path
  1. Upload the file you have

CSV, XLS or XLSX, with whatever columns it already has. Headers and sample rows are read on upload, and every upload keeps its history.

  2. Map columns

AI proposes a catalog field for each column; you review and confirm. Column Patterns remember the mapping, so the next file from that brand arrives pre-mapped.

  3. Import rules and products

Import rules set field roles and run replacements, validations, exclusions and defaults on every import. Each product lands on one record: SKU, prices, catalogs, status, main image.

  4. Build catalogs with rules

One file plus one rule set is a catalog. Include, exclude and price-adjustment rules decide what each catalog carries and at what price.

  5. Share it

Invite resellers by email or spreadsheet, or approve their marketplace requests. Access is granted per catalog, as a checklist.

Sharing on your terms

Control what each reseller sees

A catalog is one file plus one rule set, and access to it is granted reseller by reseller.

  • Catalog rules. Include and exclude rules narrow a file to the products a catalog should carry. Price adjustment rules change prices on every row when the catalog is built: a percentage markup, a flat amount or a discount, stacked in the order you add them.
  • One file, several catalogs. A dealer catalog and a distributor catalog can be built from the same upload, each with its own rules and its own reseller list.
  • A record per reseller. Every invited reseller carries an account number, payment terms and a named sales rep, with access ticked per catalog.
  • Prices as data, to approved resellers only. Cost, MSRP and MAP are price roles in your mapping. A catalog's rules decide which prices it delivers, and only resellers approved for that catalog can see them. Marketplace listings show catalog facts, never prices.

Inside the supplier app

Every part of the catalog, in one workspace

Each module works on the same product records, and catalogs rebuild from them.

Catalog Files

Upload CSV, XLS or XLSX. Each file shows Mapping, Import and Publish stage cards with the next step; imports run in the background with live progress, and every upload keeps its history.

Import Rules

Field roles such as SKU, parent SKU, name, UPC, weight, cost, MSRP, MAP and images 1 to 20, plus replacements, validations, exclusions and defaults, per brand or account-wide.

Products

All products across all files: SKU, brand, mapped prices with price updates beside them, catalogs, status and main image. Edit any field except SKU; the file is rewritten, catalogs rebuild and resellers see an Updated flag.

Prices

Per-SKU overrides by price role. Send only the SKUs and roles that changed, schedule a change for a date, and roll back from history. Overrides apply before a catalog's price rules.

Inventory

Per-SKU quantity, restock date and restock quantity uploaded from a sheet, with history and rollback. Resellers read it with the last-sync time on every row.

Discontinued

Paste or upload SKUs with a past or future date and an optional replacement note. Unknown SKUs are flagged, catalogs rebuild, and you can notify resellers by email.

Media

Upload images, videos and PDFs from folders, multi-gigabyte zips, a sheet of links or a direct upload inbox. Validation lists exactly which SKUs still have no matching file, and permanent CDN links travel with every catalog download.

Promotions

Publish sales, MAP holidays and promos to your resellers' calendars. A reseller may run one on their own store; publishing never moves their prices by itself.

Purchase Orders

Switch it on under Company. Orders arrive snapshotted from the catalog; acknowledge, fulfil, or deny with a reason, with email at every step and a thread per order.

Messages

One thread per reseller, unread counts on the sidebar, and email replies that land back in the thread.

Team, Company and API keys

Owner, Admin and Member roles with magic-link invites and two-factor authentication; company timezone and currency; workspace-scoped API keys; an activity log of every change with who made it and when.

Marketplace listing

Opt in one catalog at a time with a public description. Requests arrive with the reseller's profile; approve or deny each one. Listings show catalog facts, never prices.

After the first share

When things change

Update the catalog once. Every reseller approved for it sees the change in their portal, marked as updated.

  • Prices. Upload a price sheet with only the SKUs and price roles that changed, or schedule a change for a date. Catalogs rebuild with the new prices, and history lets you roll back.
  • Inventory. Upload quantity, restock date and restock quantity per SKU. Resellers read stock levels with the last-sync time.
  • Discontinued items. Flag SKUs with a date and an optional replacement note, and notify resellers by email. Their portal shows a Discontinued by supplier badge.
  • Images. Add or replace files by folder, zip or link sheet; validation shows which SKUs still have no picture.
  • Promotions. Publish a sale, MAP holiday or promo to the resellers' calendars. They choose whether, and when, to run it on their store.

A supplier change never rewrites a reseller's store by itself. You update the catalog; the reseller decides when to carry the change into Shopify.

Meanwhile, in the reseller portal

The reseller carries the change into their store

Updated by supplier and Discontinued by supplier filters show what moved. Update attributes writes the new price, cost or description onto products they already have, Update images fixes photos, and a promotion runs with the start and end the reseller chooses.

The reseller side in detail
Selling your own line on Shopify?

Your own store uses the same tools as your resellers

Sending products to a Shopify store is a reseller-portal action, including for your own store. Invite yourself as a reseller, share the catalog with that account, then use the portal's Shopify tools on it: Send products, Update attributes and Update images.

The own-store path
Supplier plans

Base, Starter, Growth and Pro

Plans differ by how many catalogs, products, images and invited resellers they include, with monthly or yearly billing. Every plan starts with a 14-day free trial. Resellers who find you on the marketplace do not count against your reseller limit.

Questions suppliers ask first

Before you upload anything

What file formats can I upload?

CSV, XLS and XLSX catalog files, plus price sheets, inventory sheets and discontinued lists in the same formats. Images, videos and PDFs upload from a folder, a zip, a spreadsheet of links, or a direct upload inbox. Resellers download approved catalogs as Excel, CSV or JSON, or use the API.

What do my resellers have to install?

Nothing. Resellers use the reseller portal in a browser and sign in with a one-time email code. To send products to Shopify, a reseller connects their own store from the portal by following the guided app setup.

Will other resellers see my prices?

No. Prices are only visible to resellers you have approved for a catalog, and each catalog's rules decide which prices it delivers. Marketplace listings show catalog facts, never prices.

What happens when my file's columns change?

Upload the new file and re-map it. A mapped column that has gone missing stops the import and is named, so you can fix the mapping before anything changes. Column Patterns remember the column names that worked, so files that keep their layout arrive pre-mapped.

How large a catalog can InventaCloud handle, and can my own systems read it?

It is built for very large catalogs: imports run in the background with live progress, bulk jobs batch their writes, media is served from a CDN and every catalog is published as JSON. The platform is designed for catalogs of up to 100 million SKUs, and the Pro plan has no product limit. Your own systems read the same published catalog through the API with workspace-scoped keys, and your resellers can pull catalogs, inventory, prices and purchase orders with theirs.

Where the AI helps

Suggestions you approve, mappings you keep

AI proposes a field for each column and nothing is imported until you confirm. Column Patterns and AI mapping rules are saved per brand. Ask Inventa, a read-only assistant, answers questions about your catalogs and products by SKU and explains the screens.
