Publish supplier catalogs to Shopify from the reseller portal

Sending products to a Shopify store is a reseller-portal workflow. The reseller who owns the store connects it, matches the supplier catalog to the brands already in the store, and sends the products they choose. A supplier selling its own line invites itself as a reseller, shares the catalog with that account, and uses the same tools. Nothing in the store changes until a reseller runs a send or an update.

How the Shopify workflow works

  1. Connect the store Connect with a Dev Dashboard app, following guided scopes with a copy button, or with an existing custom-app token. The token is refreshed before every send, and more than one store can be connected.
  2. Match my store Import from my store reads your brands spelled exactly as Shopify has them, and Catalog Brands maps each supplier catalog to one of them. Match my store then links catalog products to existing listings by brand and SKU, so a send updates instead of duplicating.
  3. Send products Tick products, paste SKUs, or send a whole catalog that keeps up with new items. Products arrive active or as drafts, on the sales channels you choose, with supplier stock tracking optional. Title patterns, a description builder and SEO fields shape each listing. Sends of 25 or more products run in bulk with per-product results.
  4. Maintain Update attributes refreshes chosen fields such as price, compare-at, cost or description on products you already have. Update images replaces all, adds what is missing, or swaps only the images InventaCloud added. Storefront filter tags, promotions with a start and an end, and Items sold keep the store current.
  5. Watch Store activity shows every job with progress, results and a Stop button. Send history shows, per catalog, what is on the store, what is not yet sent and whether the catalog changed since. When products change in Shopify admin, a changes-waiting banner offers Import what's changed.

Why teams use it

A send updates, it never duplicates

Match my store links catalog products to the listings already in your store by brand and SKU. A later send refreshes those listings instead of creating copies.

Refresh only what changed

Update attributes rewrites only the fields you tick, for ticked products or everything matching your filters. It never creates a product, never empties a field, and skips products that already match.

Images on your terms

Replace all images, add what is missing, or replace only the images InventaCloud added, with a preview that shows real counts first. Videos and 3D models are never removed.

Discontinued means draft

Products the supplier flagged as discontinued arrive as drafts, and a product that leaves the catalog or your selection is set to draft. Nothing is deleted from your store.

Big runs happen in the background

Sends of 25 or more products, and every image or large attribute update, run in bulk with a per-product result. Store activity shows progress, and a Running now strip with Stop appears on every page that starts work.

Your listings, your titles

Title patterns such as Brand, Product Name and Finish, a description builder that turns catalog columns into spec tables, and SEO title and meta description mapping, all set before you send.

Good to know

Bulk runs at 25 or more products

Sends of 25 or more products, every Update images run and large Update attributes runs happen in the background with a per-product result. Changed products are read back automatically after every send, so the portal's copy of the store stays current.

Discontinued items arrive as drafts

A product the supplier flagged as discontinued is sent as a draft, never active. The Products screen shows a Discontinued by supplier badge and a quick filter, so you decide what happens to listings already in the store.

Removed products become drafts, never deleted

When a product leaves the catalog or your selection, its listing is set to draft in Shopify. InventaCloud never deletes a product from your store.

Images change only with Update images

Sending products or updating attributes leaves your images alone. Update images gives three choices: replace all, add what is missing, or replace only the images InventaCloud added. Videos and 3D models are never removed.

Tags follow Shopify's rules

Every product gets sku_ and basesku_ tags, and each storefront filter term becomes a Filter_Term tag. Choose to add to existing tags or replace every tag. Shopify's 255-character limit and its comma rule are checked before anything is written, and the Tag generator shows the exact list for a real product.

Common questions

Who does the sending, the supplier or the reseller?

The reseller. Publishing is a reseller-portal workflow: the reseller connects their own store and decides what to send and when. A supplier that sells its own line invites itself as a reseller, shares the catalog with that account, and uses the portal's Shopify tools on it.

Will a send or an update overwrite changes I made in Shopify admin?

Only what you run changes. Send products writes the catalog data for the products you send. Update attributes rewrites only the fields you tick, never empties a field, and skips products that already match. Images change only when you run Update images. If the portal's copy of your store is behind Shopify, sends and updates are held until you import what changed.

What happens when the supplier discontinues a product?

The portal shows a Discontinued by supplier badge with the date and any replacement note, and a quick filter lists those products. Discontinued items arrive in Shopify as drafts, and a product that leaves the catalog is set to draft, never deleted. What happens next in your store is your decision.

Does my store update by itself when the supplier changes a price?

No. The portal shows the new price with an Updated badge; the store changes when you run Update attributes on the products you choose. The one scheduled change is a promotion you chose to run: prices change in Shopify at your start time and revert at the end, with the original kept as the crossed-out price.
